Business Closure and Teach-Out Policy

Overview

Should Claristrat Institute need to close or discontinue programs, the organization commits to supporting affected students through good-faith efforts. The institute will attempt to notify students in writing, explain closure timelines, identify remaining requirements, and provide completion options. These may include finishing during a limited teach-out period, transferring to another provider, working with substitute faculty, accessing learning materials, or receiving prorated refunds.

Students completing requirements through approved teach-out processes receive appropriate completion documentation. Those unable to finish may request records showing completed hours, courses, mentor coaching, supervision, assignments, or assessments. Students must respond promptly to teach-out communications and meet stated deadlines.

This policy does not guarantee that every student will be able to complete their education through the institute, though it commits to minimizing disruption when reasonably possible.

Each cohort uses a faculty team with pre-contracted substitute instructors, so individual instructor incapacity is addressed through substitution rather than program interruption.

Student Notification

Currently enrolled students receive written notice as soon as reasonably possible at their registered email address. Students must maintain current contact information. Notification includes:

Claristrat will make reasonable efforts to provide at least 30 days’ notice before closure. Emergency situations may require shorter notice.

Teach-Out Commitment

The institute commits to providing reasonable teach-out options for enrolled students to complete paid education or training. Support may include:

Completion through the Institute. When possible, Claristrat continues operating for a limited period allowing enrolled students to complete remaining classes, mentor coaching, evaluations, assignments, or other requirements.

Substitute faculty. Each cohort’s faculty team has contracted substitute instructors, mentor coaches, supervisors, or evaluators available to complete remaining student requirements. This represents the institute’s primary continuity mechanism.

Transfer to another qualified provider. Claristrat may arrange for students to complete remaining education with another qualified coach education provider. The receiving provider has its own enrollment, tuition, attendance, and completion policies. To support credential portability, Claristrat itemizes completed work consistent with ICF documentation requirements, including coach education hours, mentor coaching hours, and observed or evaluated sessions.

Self-paced completion period. When appropriate, students receive continued access to course materials, recordings, assignments, and the online learning platform for no fewer than 90 days to complete outstanding requirements.

Partial refund. If teach-out options aren’t reasonably available, Claristrat may offer prorated refunds for services paid but not yet delivered, subject to institute refund policy and applicable law.

Where mentor coaching or performance assessment is underway at closure, the institute makes reasonable efforts to complete that work before other teach-out arrangements take effect.

Student Records

Upon business closure, Claristrat makes reasonable efforts to preserve:

Students receive instructions for requesting record copies before closure when possible. Claristrat will maintain student records for a minimum of seven years following closure, or longer if required by law or regulatory requirements. Records transferred to appropriate custodians, successor organizations, or designated representatives when available.

Certificates and Documentation

Students completing all program requirements before closure or through approved teach-out processes receive appropriate certificates, transcripts, completion letters, or documentation.

Refunds and Financial Considerations

If Claristrat cannot deliver paid education or provide reasonable teach-out options, students may qualify for prorated refunds for program portions paid but not delivered. Proration is calculated based on program weeks delivered relative to total program weeks, adjusted for proportionate administrative costs already incurred and teach-out arrangement availability and costs.

Refunds aren’t guaranteed in all closure situations, particularly where closure results from circumstances beyond institutional control. However, the institute acts in good faith to provide fair, reasonable options for affected students.

Priority for Currently Enrolled Students

In closure events, priority goes to students actively enrolled and in good standing when closure decisions are made. Claristrat may not support former students, inactive students, withdrawn students, or students whose enrollment periods have expired, except as required by written agreement or applicable law.
